Job Summary

The Parish Administrator provides general clerical support of semi-routine nature under close to moderate supervision. Operates office equipment and organizes and maintains the church office. Activities include preparation and distribution of written/printed materials such as newsletters, Sunday bulletins; management of the church website and maintenance of church membership and mailing lists. Prepares payroll and accounts payable, prints checks and communicates with church accountants as needed. Also answers and routes incoming calls, schedules building use and work hours for others. 

Essential Functions

  • Prepare weekly Order of Service, with input and direction from the Minister, Music Director, and Director of Religious Education, and lay leaders, including announcements and weekly calendar information
  • Produce the weekly e-news including design, layout, updating announcements, and mailing hard copies to members who request it
  • Work with Minister and Outreach team to post regularly on social media as well as add events to Facebook
  • Regularly update church website and troubleshoot issues as they arise
  • Maintain membership lists, mailing lists, e-mail lists, and church directory
  • Order supplies as needed
  • Maintain church calendar of activities
  • Maintain an organized and inviting office space in the main church office that can be used by a variety of lay leaders and staff
  • Act as on-site person for inspections and meeting with outside vendors
  • Managing all space use by coordinating with Facilities Manager, House & Grounds, social justice and other members/committees
  • Provides administrative support to the Minister and Board of Directors in the form of making copies and assisting with mailings. 
  • Prepares payroll and accounts payable along with other basic Quickbooks data entry. Prints checks and communicates with accountants as necessary. 
  • Makes deposits.
  • Tracks pledges, donations, and members in Breeze Church Management.

Required Qualifications

  • Experience with standard desktop software applications (Word, Excel, Outlook) as well as facility with web content management software and database software for managing membership information
  • Excellent attention to detail and has the organizational skills required to prioritize among multiple tasks, manage time efficiently and maintain the church office
  • Facility using social media platforms
  • Excellent written and verbal communications skills
  • Conscientious; willing to take initiative and be proactive; willing to be flexible and to experiment
  • Experience with QuickBooks preferred
